Privacy and confidentiality

How Priceline Pharmacy Sunshine Marketplace collects, uses and protects personal information, with specific commitments for the pharmacotherapy clinical relationship.

This page describes how Priceline Pharmacy Sunshine Marketplace handles personal information in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to both the retail pharmacy service and the pharmacotherapy clinical service.

What we collect

For the pharmacotherapy service, we collect the minimum information needed for safe dispensing and supervised dosing:

  • Identifiers required by the prescription (full name, date of birth, address, Medicare number).
  • Government identifiers where required by the prescription, the PBS, or controlled-drug law.
  • Dosing history (date, time, dose, supervised or takeaway).
  • SafeScript real-time prescription monitoring results.
  • Clinical notes relevant to dispensing, e.g. missed doses, vomited doses, takeaway approval, transfer hand-overs, language at the counter.
  • Languages spoken so we can arrange interpreters where appropriate.

For general dispensing, we collect what your prescription requires and nothing more.

Why we collect it

  • To dispense and supervise dosing safely.
  • To liaise with your prescriber and (when transferring) your previous dispensing pharmacy.
  • To meet regulatory and record-keeping obligations under the Drugs, Poisons and Controlled Substances Act 1981 (Vic) and the Drugs, Poisons and Controlled Substances Regulations 2017 (Vic).
  • To comply with the Pharmaceutical Benefits Scheme (PBS) and the Pharmacy Programs Administrator (PPA) reporting obligations, including the Take Home Naloxone Program.

SafeScript

We are required by law to check Victoria's SafeScript real-time prescription monitoring system before dispensing certain medicines, including those used in pharmacotherapy. A SafeScript check is a routine part of every relevant supply, not just the first. SafeScript records and any clinical conversation arising from a flag are treated as part of your dispensing record and are subject to the same retention and confidentiality rules as the rest of your file.

Who we share information with

We share information only with the people directly involved in your safe care:

  • Your treating prescriber (the doctor or nurse practitioner who wrote your prescription).
  • When you transfer in or out, the other dispensing pharmacy named on the transfer.
  • When clinically necessary, the Drug and Alcohol Clinical Advisory Service (DACAS) or your nominated specialist.
  • Government agencies where reporting is mandatory (Department of Health Victoria, PPA).

We do not share information with:

  • Your family, partner, employer, Centrelink, the NDIS, or any other third party, without your written consent.
  • Marketing or research databases.

Translation and the top-right widget

This site offers a Google Translate widget for page translation. When you select a non-English language, a cookie is set so the page renders in the selected language. The translation is performed client-side by Google. No personal information is transmitted to Google by selecting a translation language; only the source English text on the page is sent for translation each time you navigate.

You can request a free interpreter through TIS National (131 450) at the counter at any time. The pharmacy covers the call cost; the conversation is confidential.

Cookies

This site uses a small number of cookies, and none of them identify you personally. We do not use marketing or advertising trackers. The Cookie policy page explains each cookie and how to control it.

Children and young people

This website and our communications are written for adults. We do not direct marketing at children or young people, we do not knowingly collect personal information from under-18s through this website, and we do not build advertising profiles of young people.

Pharmacotherapy for a person under 18 is uncommon and is handled with extra care. If someone under 18 presents for treatment, the pharmacist follows a separate internal pathway. That pathway confirms a valid prescription, considers the young person's consent and capacity, and involves a parent, guardian or other appropriate support where it is safe and appropriate to do so. We explain what information is collected and who it is shared with. A young person's records are kept under the retention rule for children below.

How long we keep records

  • Dispensing records: 7 years from the date of supply.
  • Schedule 8 register entries: 3 years from the last entry.
  • SafeScript audit trail: as set by the system operator (Department of Health Victoria).
  • General correspondence relating to your care: 7 years.
  • Records relating to a child under 18: until the child turns 25, or 7 years from the last entry, whichever is longer.

Access, correction and complaints

Under APP 12, you may request access to or correction of your personal information held by the pharmacy. Please address requests in writing to the proprietor via the published email or postal channel.

If you have a privacy concern that the pharmacy has not been able to resolve directly:

  • For health-specific complaints in Victoria, contact the Health Complaints Commissioner, 1300 582 113, hcc.vic.gov.au.

Security

Personal information is stored in pharmacy software accessible only to authorised pharmacy staff. Paper records are stored in lockable cabinets. Electronic backups are encrypted. Access logs are reviewed.

Changes to this policy

This policy is reviewed annually and republished here. Material changes are flagged on the page for 30 days from the date of change.
